In-person for CIRCA Shareholder Directors, Live Stream for all other Guests.

In these unprecedented COVID-19 times, we find ourselves having to evolve. In this specific instance, we are dealing with challenges on how best to deliver a safe and productive Board of Directors meeting in the Spring for our shareholders and trusted partners.

After continued discussions with the St. Regis Aspen, it has been decided that in order to deliver the level of service our shareholders expect that it would be best to defer our meeting at this location to May 18-20, 2021 (see meetings details on CIRCA’s website). The issue with attempting to continue with a meeting this year is 1) the hotel revised their opening to the day our meetings begin, 2) staffing restrictions due to lack of international employees able to travel to the US and 3) limited services related to anticipated restrictions in the state of Colorado.

This was not an easy decision for both parties, given we are all eager to resume normal activities. We appreciate their candor on their capabilities in this time and the ability to reposition for a positive experience in 2021.

It is critical for the BOD to meet and continue pushing forward on our deliverables. To achieve this goal, we are hosting a Spring BOD meeting at the Miramont Country Club in Bryan, TX on the June 10th - 11th. 

The decision for hosting at this location is two-fold. First, as a private country club they have the ability to host meetings through this time due to the limited access the public has to the property. Second, this location has lodging capabilities.

At this location, we will only be able to host one Shareholder representative (Director OR Alternate). The only exception to this rule is if you are local and do not require lodging. All other attendees will have the opportunity to attend via a live stream. 

These changes are meant to provide a meaningful experience, while doing our best to manage the complexities of the COVID-19 environment. We understand that this decision may be disappointing given the close-knit community you have built within CIRCA. We appreciate your understanding in these times.

• The meeting format will remain as previously communicated. 

  • June 10th

    • 12pm – 5pm: The Finance, Strategic Development and Executive Committees will meet (COMMITTEE MEMBERS ONLY)

    • 6pm – 9pm: Cocktails/Dinner for all invitees

  • June 11th

    • 7am – 3:30pm: Meetings (including Breakfast/Lunch)

• Registration details will be handled directly with the Shareholders. As a precaution, only one representative for each shareholder will be able to attend.

  • Jason Oswald will reach out to each shareholder individually to take registration details.

• The meeting will be broadcast live. For those not able to attend in person, you will have the ability to attend the meeting virtually. Details regarding this capability will be shared as we near the event.

During this time, we have also been in contact with the Ritz Carlton Grand Cayman, the host location for our 2020 Fall BOD & AGM. They have reassured us that the hotel staff is prepared for our arrival in the fall. Further, the hotel and island community are taking all the necessary steps to ensure a positive experience, without delay or modifications to our meeting.
